Case study

A web sale that reaches the books exactly like a sale at the counter.

Orika Living is a home-fragrance brand that sells online, in person and through stockists in Nigeria. We built the platform that runs its sales, stock, deliveries and accounts, with the online shop as one more channel of the same system.

What they needed

An online shop that kept its own prices and stock would soon disagree with the business. Orika Living needed every sale, wherever it happened, to move the same stock and reach the same books.

It also sells through stockists, who hold its products before they are sold. That stock still belongs to the brand, and the accounts had to say so.

What we built

Five areas on one platform. The online shop holds no prices or stock of its own: it reads them from the ERP.

  • Sell

    • The online shop
    • Point of sale, with sessions and receipts
    • Sales and invoicing
    • Discounts and campaigns
  • Stockists

    • Partner records
    • Stock sent on consignment
    • Each partner’s balance
  • Stock and delivery

    • Every stock change kept as a movement
    • Purchasing
    • Courier deliveries, signed for on arrival
  • Customers

    • One contact list
    • Loyalty points
    • Social media channels
  • Money and people

    • A balanced journal entry for every financial change
    • VAT and withholding tax
    • Expenses
    • Payroll

What holds it together

Every sale, at the counter, on the website or through a stockist, posts its revenue, its cost of goods and its stock movement in the same way.

How it runs day to day

One order, from the website to the books

  1. A customer orders on the website. Price and stock are read live from the ERP, so the website cannot offer what is not there.
  2. Once the payment clears, the order posts its revenue and its cost of goods, and the stock moves, all in one step. A payment that does not match the order is held for review instead.
  3. The customer joins the shared contact list, so the team sees a web buyer like any other customer.
  4. A courier delivers the order, and the delivery is signed for.

What changed

  • One stock, every channel

The website, the counter and the stockists draw on the same stock, so the brand does not sell what it no longer has.

  • Books that agree with sales

A web sale posts the same entries as a sale at the counter, so the accounts and the sales reports tell one story.

  • Stock at stockists in view

Goods held by stockists stay on the brand’s books until they sell, with each partner’s balance in view.

  • Room for the group

A second business in the group runs on the same platform with its own books, stock and numbering, and the two share one contact list.

Our role

  1. See

We mapped how the brand sells and where its stock sits: at the counter, on its website and with its stockists.

  2. Design

We decided that the online shop would be a channel of the ERP, not a second system, and designed its accounting to match a sale at the counter.

  3. Build

We built the ERP, the online shop and the connections to payment providers and couriers.

  4. Hold

We keep extending it as the business grows, for example with a bank account number for each order, so a transfer is matched to its order on arrival.
